Space Reservation Guide

MizzouRec has tons of venues for every type of event, whether you’re looking for a formal meeting room or space for basketball or volleyball for your organization.

The following guide is for Mizzou student organizations and fraternity/sorority community. Visit our space rentals page if you are not affiliated with a student organization or the fraternity/sorority community.

What to Know

Preparing for an Event

Before planning, start with strategy and preparation. Use SMART goals to define your event's purpose:

  • S - Specific: Narrow your goal for more effective planning.
  • M - Measurable: Ensure your goal and progress are measurable.
  • A - Attainable: Set goals you can reasonably accomplish within a specific timeframe.
  • R - Relevant: Align your goal with your values and long-term objectives.
  • T - Time-Bound: Set a realistic end date to help prioritize tasks.

Additionally, identify your target audience, prepare marketing tools, and build a budget while exploring your funding options.

Requesting a Space

  • EMS Access: Ensure your organization's President or Vice President has EMS access.
  • Login: Use your Paw Print to log in to EMS to check availability and request space.
  • Timing: Submit requests no sooner than 6 months in advance.
  • Active Spaces: No later than 15 business days prior.
  • Meeting Rooms: No later than 7 business days prior.
  • Assistance: Email recevents@missouri.edu for any booking issues.

Tips for a Successful Event

  • Review all MizzouRec cancellation and facility policies.
  • Confirm your reservation time and arrive on time with all supplies and permits.
  • Share a detailed timeline with your team and MizzouRec staff.
  • Designate a primary on-site contact for MizzouRec staff.
  • Pro-tip: For large events, schedule a pre-event walkthrough with vendors. For outdoor events, ask about "rain-site" locations.

Post-Event Process

  • Feedback: Complete the Google Form emailed to your organization to provide feedback on our service.
  • Billing: MU Reservations Billing will send a final invoice.
  • Payment: Payments must be made within 30 days to remain in "good standing." Organizations in "bad standing" will be suspended from making any campus reservations, including personal study rooms.

The Approval Process & Next Steps

    Submit your request within the required timeframe (6 months to 15 business days).

  2. 2 in gold circle

    The MizzouRec Event Coordinator will review your request and notify you if it is ready to move forward, or declined.

  3. 3 in gold circle

    Once approved, a Zoom meeting will be scheduled to discuss logistics. Following this, you will receive an estimate outlining required permits or forms.

  4. 4 in gold circle

    Updates or cancellations must be requested at least 48 hours before the event.
